    Scope of application

    The single personnel register must be kept from the first employee hired (or upon the arrival of a trainee).

    Description

    The employer must keep a personnel register for each establishment as soon as the first employee is hired (or as soon as a trainee arrives). He must enter the following information in chronological order of recruitment:

    • Employee identification: surname, first names, date of birth, sex, nationality
    • Career: jobs, qualifications, date of joining and leaving the company
    • Type of contract: permanent contract, apprenticeship or professional training contract, work integration contract, fixed-term contract, part-time work, provision by a group of employers, provision by a temporary work agency (temping) for example 
    1. For foreign workers: type and serial number of the work permit
    2. For trainees: surname and forenames, start and end dates of the traineeship, surname and forenames of the tutor, place of presence of the trainee, should be indicated in a specific section (so as not to confuse them with employees).
    3. For part-time employees: the words "part-time employee".
    4. For employees who require authorisation for hiring or dismissal: the date of the authorisation or request for authorisation
    This register may be kept in digital form.

    If the same person is hired on successive contracts (e.g. fixed-term or extra contracts), it is necessary, for each contract or shift, to indicate on a new line of the register the corresponding entry and exit dates.

    Please note: the information entered in the single personnel register must be kept for five years from the time the employee or trainee leaves the establishment.
